Standards of Practice

Veritas Memoirs operates as a private memoir studio. Each memoir is a confidential commission developed in close collaboration with the client and, when appropriate, the client’s family. Because the work often involves personal history, family archives, and sensitive life experiences, discretion and respect for privacy are fundamental to the studio’s practice. The following policies describe the terms governing memoir commissions, the handling of materials, and the use of this website.

Confidentiality

All Veritas Memoirs commissions are conducted in strict confidence.

Client identities, personal histories, manuscript content, interviews, photographs, documents, and all other materials associated with a commission are treated as private and are not disclosed, displayed, excerpted, or otherwise used publicly by Veritas Memoirs.

Veritas Memoirs does not publicly identify past clients or reference client projects without the client’s explicit written permission.

Unlike many memoir and life-story services, Veritas Memoirs does not use client work for portfolio display, marketing excerpts, or promotional illustration without the client's express written consent. Completed memoirs are created exclusively for the client and their designated recipients.

Where appropriate, Veritas Memoirs is prepared to work under a formal confidentiality or non-disclosure agreement to ensure the privacy expectations of the client and their family.

Testimonials may be shared only with the client’s explicit written permission.

Scope of Services

Veritas Memoirs provides interview-based memoir development, narrative shaping, editorial structuring, book design direction, and production coordination.

The memoir process is collaborative and interpretive in nature. Narrative structure, pacing, tone, and presentation are developed through editorial judgment informed by client interviews, conversations, and materials.

Edition specifications—including interview hours, anticipated page count, incorporation of photographs, letters, documents, and other archival materials, and edition quantities—define the general scope of each commission. Requests that extend beyond these parameters may require adjustments to the project schedule, scope of the commission, and associated fees.

Interview Recordings and Working Materials

Interviews conducted as part of the memoir process may be recorded for editorial reference and accuracy.

Any recordings, and any transcripts created from them, are internal working materials maintained solely in support of the editorial and narrative development process. These materials are not considered project deliverables and are not provided to clients or third parties as part of the commission.

Interview recordings and transcripts are retained for a limited period of up to twelve (12) months following manuscript completion, after which they are securely deleted or destroyed.

Participant Consent

Certain commissions, particularly those that incorporate additional voices or perspectives, may involve interviews with individuals other than the primary client.

Participation in such interviews occurs at the invitation of the client and with the individual’s consent.

Participants should understand that their statements may be edited, condensed, or incorporated into the memoir as part of the editorial and narrative development process.

The final narrative structure and presentation of these contributions are determined through the editorial process directed by Veritas Memoirs in collaboration with the client.

Client Materials and Copyright Responsibility

Clients may provide photographs, letters, documents, or other archival materials for possible inclusion in the memoir.

Veritas Memoirs relies on the client’s representation that any materials provided are either owned by the client or supplied with appropriate permission for use.

Veritas Memoirs does not independently verify copyright ownership, permissions, or licensing rights associated with materials provided by the client. Responsibility for securing and maintaining those rights remains with the client.

Handling of Personal Materials

Photographs, letters, journals, scrapbooks, documents, heirlooms, and other materials provided for memoir development remain the property of the client.

Veritas Memoirs handles all client materials with professional care. Clients are strongly encouraged to retain original items whenever possible and to provide duplicates, digital files, or high-quality scans for working and production purposes.

Materials may be temporarily retained for digitization, editorial reference, or production preparation during the course of the commission. Veritas Memoirs takes reasonable care in handling these materials but cannot assume responsibility for loss, theft, or damage to personal items supplied by the client.

Original materials are returned to the client upon completion of the project in accordance with the terms of the commission.

Ownership of the Memoir

The completed memoir is created as a private commissioned work for the client.

The client retains ownership of the memoir’s personal content and the physical copies produced as part of the commission. Unless otherwise agreed in writing, the memoir is intended for private distribution among family members and designated recipients.

Veritas Memoirs operates as a private memoir studio and does not act as a commercial publisher, distributor, or retail bookseller. The studio does not market, sell, or distribute client memoirs to the public. Veritas Memoirs provides editorial development, narrative shaping, design direction, and production and printing coordination services only.

If a client later chooses to pursue commercial publication, resale, or broader distribution of their memoir, such activities would be undertaken independently by the client and fall outside the scope of services provided by Veritas Memoirs.

Veritas Memoirs Intellectual Property

While the client owns the completed memoir, the Veritas Memoirs name, colophon, visual identity, and the studio’s underlying design systems, typographic styling, layout structures, and proprietary production methodologies remain the intellectual property of Veritas Memoirs.

These elements may not be reproduced, extracted, or used independently without prior written permission.

Payment and Commission Terms

Memoir commissions require an initial deposit in order to begin work.

Editorial development, interview preparation, scheduling, project planning, and related preparatory activities begin upon execution of the client agreement. Because professional time and resources are committed at that stage, deposits are nonrefundable once project work has commenced following execution of the client agreement.

Payment schedules, production timelines, and edition specifications are defined in the individual client agreement.

Project Delays

Veritas Memoirs is not responsible for delays arising from circumstances beyond reasonable control, including illness, natural disaster, supply-chain disruption, printer delay, or other unforeseen events affecting production or delivery.

Project timelines also depend on timely participation from the client, including scheduling interviews, providing materials, reviewing manuscript drafts, and returning proof corrections. If client responses or participation are delayed, project timelines may be adjusted accordingly. Any delays in client participation may result in a corresponding extension of the project schedule and anticipated delivery date. Veritas Memoirs is not obligated to compress production timelines in order to compensate for delays outside the studio’s control.

Responsibility for Content Accuracy

Veritas Memoirs provides editorial development and narrative shaping based on interviews, recollections, and materials supplied by the client and any approved participants.

Memoirs created through Veritas Memoirs reflect personal memory, narrative interpretation, and editorial shaping rather than a formally verified historical record.

Responsibility for the factual accuracy of submitted content remains with the client and any individuals providing information or materials for inclusion in the memoir. Veritas Memoirs is not responsible for disputes, disagreements, or differing interpretations among family members, heirs, or third parties arising from the content of a memoir.

To the fullest extent permitted by law, Veritas Memoirs is not liable for indirect, incidental, consequential, or special damages arising from the creation, production, delivery, or use of a memoir.

Memoir Replacement
(Archival Edition Only)

For Archival Edition commissions, Veritas Memoirs typically retains a small number of additional copies from the original production run to preserve the integrity of the edition.

If a memoir volume or a Themes and Reflections volume is lost or significantly damaged, a replacement copy may be provided from this archival inventory, subject to availability. One complimentary replacement may be provided per volume. Additional copies may be available at the studio’s archival replacement cost while inventory from the original print run remains.

Shipping and handling costs remain the responsibility of the client.

Website Use and Copyright

All content appearing on this website, including text, design, images, graphics, and structural concepts, is the property of Veritas Memoirs unless otherwise noted and may not be reproduced, copied, adapted, or distributed without prior written permission.

Use of this website does not establish a client relationship with Veritas Memoirs. The information provided here is offered for general informational purposes about the studio and its services and does not constitute professional advice.

Privacy

If you contact Veritas Memoirs through this website, by email, or through an inquiry form, any information you choose to provide will be used solely for the purpose of responding to your inquiry, discussing potential services, supporting an active client relationship, or managing normal business communications related to those activities.

Veritas Memoirs does not sell, rent, or trade personal information to third parties.

Information submitted through the website may be stored through the website platform, email provider, or other ordinary business tools used to manage correspondence and client communications. Reasonable care is taken to handle such information responsibly; however, no method of electronic transmission or storage can be guaranteed to be completely secure.

Governing Law

These policies, and any agreements related to services provided by Veritas Memoirs, are governed by the laws of the Commonwealth of Massachusetts, without regard to conflict-of-law principles. Any disputes arising from services provided by Veritas Memoirs shall be resolved exclusively in the state or federal courts located within the Commonwealth of Massachusetts.
